7 Restaurant Billing Mistakes That Quietly Cost You Money

Most restaurants do not lose money in one big event. They lose it in small billing gaps that nobody notices until the month-end. These seven are the most common.

1. Items served but not billed

When orders are written by hand, an item can be served and never reach the bill. Sending every order through the system - even for regular customers - closes this gap.

2. Discounts without a record

Unrecorded discounts hide in the cash drawer. Allow discounts only for roles that should give them, and make sure each one is logged with a reason.

3. Wrong or inconsistent tax

Typing tax by hand leads to mistakes. Set the rates once in the system so every bill calculates them the same way, and check the rates with your accountant.

4. Cancelled bills with no trail

Voids and refunds are sometimes legitimate and sometimes not. Require permission for them and keep an audit trail of who did what.

5. Payment mode mix-ups

If cash and UPI are not recorded properly, your closing numbers will not match. Record the payment mode on every bill, and close the day by comparing the system with the drawer.

6. Everyone using one login

Shared logins make it impossible to see who made a mistake. Give each person their own login and the right role.

7. No end-of-day check

A five-minute closing routine - cash counted, payment totals compared, voids reviewed - catches almost every problem on the day it happens.
